Creating Workflows from a Pre-Defined Template

Workflow Owner This topic is intended for SecureChange workflow owners, who are responsible for creating and maintaining workflows.

Overview

SecureChange includes pre-defined workflow templates which you can use to create workflows which meet your organization's needs. These templates include steps that are commonly used to complete a task. When you create a workflow from a template, you can modify the steps as required.

These are the only workflows available to users with SecureChange Basic. Users with a SecureChange license can also create custom workflows.

SecureChange includes the following pre-defined workflow templates:

  • Access Request: Use this template to create a workflow for SecureTrack users to create an access request. By default, workflows based on this template require the user to enter details of the target, source, and destination of the access request, and require the user to enter a business justification for the request.

    By default, the workflow includes the following steps:

    1. Submit request with specified access
    2. Business approval
    3. Technical design
    4. Security review
    5. Implementation
  • Group Object Request: Use this template to create a workflow for users to request a change to a network object or to create a new network object. By default workflows created from this template contain the following steps:

    1. Submit group object change request
    2. Approval
    3. Implementation
  • Generic Request: This template can be used to create workflows that do not have to be connected to your network configuration, for example you could create a generic network to monitor support tickets. By default a generic workflow contains the following steps:

    1. Submit request
    2. Approval
    3. Implementation
  • Remove Access: Use this template to create workflows for users to open a removal request. By default the workflow allows users to enter a link to an ticket, and requires users to enter the target, source, and destination of the removal request. By default, a remove access workflow contains the following steps:

    1. Submit remove access request
    2. Approve access removal
    3. Implement access removal

What Can I Do Here?

Create a workflow based on a template

  1. In SecureChange > Workflows, click one of the workflow templates.

  2. To modify the name of the workflow and other properties, click Workflow Properties. And modify the name, description, and confirmation settings. For details, see Configuring Workflow Properties.

  3. The steps in the workflow are listed at the top of the page

    For each step in the workflow, assign participants:

    1. Click the step.
    2. In the Assignments tab, select the Assignment mode. For a simple workflow, select Auto-assigned for SecureChange to automatically assign the ticket to a participant.

      You can also configure conditions, based on which, the step is skipped.

    3. Select users that can perform this step in the workflow.
  4. When all steps are marked as valid, set the workflow status to Active.
  5. Click Save.
